Implementation
Before the mobility activity can take place, the institutions involved must sign an inter-institutional agreement with NTNU. NTNU will issue drafts for Erasmus agreements for all partner universities involved in the project.
Organisation ID
For reporting purposes, every organisation involved in the project will need a Organisation ID (OID) unique to their higher education institution. Your institution's OID will then have to be communicated to NTNU before we can start reporting on the mobility. The OID should be registered to your institution's legal entity, which is typically at the level of the central university and not one of its faculties.
If your institution has taken part in a European programme, such as a former Framework Programme (FP7, FP6), Horizon2020, or the Capacity Building action in Erasmus+, it will already have a Participation Identification Code (PIC), and thus also a OID. A simple search here will allow you to find your institution's unique OID.
If your institution does not already have a OID, then you will have to register your organization here.
Mobility implementation
All mobility must be in accordance with the details outlined in NTNUs contract for the project.
The sending and receiving institutions must, together with the participant (student or staff), agree on the activities that the participant will undertake during the period abroad.
The Learning Agreement (LA) sets out the study programme to be followed by the student, defines the target learning outcomes and specifies the formal recognition provisions.
Similarly, the mobility agreement for members of staff sets out the teaching or training programme to be followed, and lists the rights and obligations of each party.
The grant agreement sets out the financial support and payment arrangements to the participant (student or staff). Unlike other documents, this agreement is signed between the participant and NTNU only.
The agreements will be sent to the participants after they have been selected and approved by NTNU and must be signed by both parties before the start of the mobility. The Erasmus+ grant can only be paid to the participant once this agreement has been signed.
Selecting process
The sending institution is responsible for selecting participants and providing them with all necessary support including pre-departure preparation, monitoring during mobility, and formally recognizing the mobility period. The receiving institution offers participants a study programme, or a programme of staff training or teaching activities at their institution. The Inter-Institutional Agreement details the obligations of each institution.
The selection criteria for participants are defined by their sending higher education institution, in agreement with the receiving institution. The first criterion should be academic merit, but with equivalent academic level, preference should be assigned to students from less advantaged socio-economic background.
Information on the mobility opportunities available and the selection procedure should be made public. The selection of participants, as well as the procedure for awarding them a grant, must be fair, transparent and documented and should be made available to all parties involved in the selection process.
Erasmus+ encourages to participation of students and staff with special need. If one of your selected participants has a physical or health-related situation that would prevent them from participating in a mobility activity unless extra financial support was made available, you can ask you partner to request “Special needs” support from their National Agency in order to cover the extra costs involved.
Recognition
It is mandatory that mobility periods are recognized by both higher education institutions as stipulated in the inter-institutional agreement and in the Learning Agreement.
The receiving institution will provide a Transcript of Records to the student and sending institution. The sending institution must fully recognize the activities successfully completed by the student during the mobility, and register them in the student's Transcript of Records.
Application deadlines and procedures
For mobility of staff, the relevant Department at NTNU must be contacted in order to plan the mobility in accordance with NTNUs contract.
Incoming students under Global Mobility must submit a formal application as exchange students.

Details on the amount of the scholarship will be specified in the invitation letter sent to the participant before the mobility takes place.
Practical matters
Visa for students
NON-EU/EEA citizens must apply for a residence permit for studies. This is also called a study permit. An application for a study permit in Norway must be sent to the Norwegian Embassy or Consulate in your home country prior to your departure. If you have already started your study programme in another EU/EEA country, please send the application to the Norwegian Embassy of your study country. It should be accompanied by the following documents
- Letter of invitation form NTNU
- Valid passport
- Documentation of financial support
Visa for PhD and Staff

Regarding point 1 and 3: NTNU will issue both letter of invitation and the confirmation of being granted Erasmus+ scholarship to students, PhDs and staff who will successfully pass the selection process.
When you apply for your residence permit, please make sure that you do not indicate a reference person at NTNU, as this will delay the processing of your application. You will also need the organization number of NTNU, which is 974767880. If asked for an address, you can simply provide the following: Moholt student village, 7050 Trondheim, Norway (for Master’s students) and the office of International Relations, O.S. Bragstads plass 3, 7491 Trondheim, Norway for PhD-candidates and staff.
Housing
For mobility of staff and PhD students, housing will be arranged by the Department that invites the candidate for a mobility period at NTNU.
Students, who have admission at NTNU, will receive an e-mail with information about housing from the Office of International Relations. Please note that all students will be required to pay a security deposit for accommodation before their arrival which will not be covered by the scholarship. This sum will be returned after their departure assuming they follow the rules of the accommodation.
Flight tickets and Scholarship payment
Incoming students, PhD and staff are responsible for booking their own tickets to Norway. Participating incoming students, PhDs and academic staff will receive a check for the individual support upon arrival to NTNU.
Travel and general insurance
NTNU does not provide travel and general insurance during your stay in Norway. We recommend that you take out such an insurance policy yourself.
Health insurance
Students from non-EU/non-EEA countries who will be studying and living in Norway between 3 to 12 months can apply for enrolment in the National Insurance Scheme. However, we do recommend that you also take out a private health insurance before arrival, as it may take some time before you obtain membership. After obtaining membership, you will have almost the same right to medical care as Norwegian citizens.
