Erasmus+ Arrival and Departure confirmations

NTNU Trondheim

Upon arrival to Trondheim, you will be required to complete an arrival registration online. After you have completed the arrival registration, you will automatically receive your Arrival Confrimation within two weeks.

Please note: We use a standard arrival confirmation, and will not sign documents from your home university relating to arrival. If your home institution has issues with this, instruct them to contact us directly.

 

NTNU Gjøvik

Bing your arrival confirmation form to the Orientation Week, or come by the Gjøvik International Office in the Gneis building, next to the Student Information Centre. 

NTNU Trondheim

Near the end the semester, you will automatically receive an e-mail with instructions on how order your departure confirmation. There is no need to contact NTNU about ordering your confirmation.

Note: Departure confirmations may not be issued earlier than five days before departure.
We use a standard departure confirmation, and will not sign documents from your home university relating to arrival or departure. If your home institution has issues with this, instruct them to contact us directly.

 

NTNU Gjøvik

Before leaving Gjøvik at the end of your exchange, bring the departure confirmation form from your home university to the Office of international relations located in the Gneis building, next to the Student Information Centre

The earliest you can get your departure confirmation is five days before you leave

 

Learning Agreement (LA)

Learning Agreement (LA)

Below you can find important information regarding Learning Agreement 

A Learning Agreement (LA) is a three-way agreement between you, your home institution and the receiving institution (NTNU) about the planned learning outcome/academic contents of your exchange.

The LA specifies which courses you will be taking at NTNU and, when signed by all three parties, it:

  1. Verifies that your home institution will accept the chosen courses (or professional practice) as part of your degree, replacing equivalent academic work you would usually have done at the home institution.
  2. Verifies that NTNU has approved the chosen courses/activities and will grant you credits for them upon successful completion. 

The Learning Agreement can be submitted either as a PDF document or through a dedicated online/digital portal- commonly referred to as an Online Learning Agreement (OLA).

At NTNU, we only sign one format of the learning agreement (either PDF or Online). To see which applies to you, please contact your home coordinator. 

Whenever you need to a Responsible Receiving Person for the signing of the Learning Agreement, you can use the following contact information.  

Person: Unit for International Relations  

Email: exchange@aud.ntnu.no. 

If your home university requires a specific contact person for your Learning Agreement, you can use the name of the case worker, which can be found in your acceptance letter; together with the email address exchange@aud.ntnu.no. 

Please do not send your learning agreement to their personal email addresses, since this will result in further delays in the processing of your LA.  

 

Depending on the format you need to use, different rules may apply. 

Please pay additional attention if you are submitting an OLA. Failure to comply may result in rejection of the document. 

How to fill out the Learning Agreement?

At NTNU, we do not process your Learning Agreement until after you have been offered admission. 

While we do not have any deadlines for the signing of the LA, your home university may have an internal deadline. 

 How to send the OLA?

  • At NTNU, we use the Erasmus Without (EWP) portal (or Mobility Online portal) for the processing of OLA. 
  • If this is accessible to your home university, the OLA will automtically be visible to us once it is signed and sent by them.
  • If your home university uses a different portal or it is not functional, please send us the LA as a PDF document. 

 

How to send the PDF?

  • Send your Learning Agreement in a single pdf file to the correct address below, depending on where you will be studying:
    • NTNU Trondheim: exchange@st.ntnu.no
    • NTNU Gjøvik: international@gjovik.ntnu.no
    • NTNU Ålesund: au@ntnu.no
